The Role
Working closely with our Commissioning and Project teams, you'll manage project documentation throughout the project lifecycle, ensuring information is controlled, accessible and compliant with both client and company standards.
This is an excellent opportunity for someone with document control or project administration experience looking to develop their career within a rapidly expanding engineering business.
What You'll Be Doing
Manage and control project documentation from receipt through to completion
Maintain document registers, trackers and revision control
Upload drawings, reports, commissioning documentation and technical records
Ensure document compliance with client and company procedures
Distribute controlled documentation to project teams and clients
Support project reporting, including Planned vs Actual (PvA) reporting
Assist commissioning teams with project documentation packs
Liaise with internal teams, clients and suppliers to obtain documentation
Support project systems including SharePoint, Aconex or similar platforms
Provide administrative support across multiple live projects
About You
You'll be someone who enjoys organisation, works well under pressure and has exceptional attention to detail.
Previous experience as a Document Controller or Project Administrator
Experience within construction, engineering, commissioning or infrastructure projects
Excellent Microsoft Office skills, particularly Excel
Experience using document management systems
Strong organisational and communication skills
Ability to prioritise multiple projects simultaneously
A proactive and solutions-focused attitude
Desirable
Experience within data centres, MEP or commissioning
Knowledge of SharePoint, Aconex or similar document management systems
Experience supporting international project teams

Join STS Group as our next Document Controller in Boden! We are looking for an experienced Document Controller to join our construction project in Boden. STS Group is an international engineering contractor, with projects all across Europe. The Opportunity As our next Document Controller, you will be responsible for managing and coordinating all project documentation across our project, ensuring information is accurate, up to date, and accessible to the project team. You will support the technical and site teams by controlling drawings, submittals, and records, helping the project meet its objectives safely, efficiently, and to the highest quality. Some of the Key Tasks Manage and control all project documentation, ensuring accuracy, traceability, and easy access using the software tools provided, including maintaining the Master Drawing Register and updated drawings. Prepare and track technical submittals and safety documentation, distribute drawings and snag reports, and coordinate document flow between site teams, designers, and subcontractors. As a Document Controller, you will play a critical role in managing and safeguarding all technical, design, construction, and compliance documentation across a fast-growing hyperscale data center program. You will ensure that every drawing, model, report, specification, contract, and change document is accurate, traceable, and aligned with strict internal, client, and regulatory requirements. You will act as the gatekeeper of the project’s single source of truth, enabling coordination across engineering, construction, commissioning, quality, operations, consultants, and contractors. This role is essential to maintain transparency, compliance, and governance as we expand our portfolio and scale our project delivery capabilities. Key Responsibilities Document Management * Manage the full lifecycle of project documents - creation, revision, approval, distribution, and archiving - across all project stages. * Ensure proper version control, document numbering, and traceability for drawings, specifications, contracts, and reports. * Maintain and enforce document control procedures in line with company and industry standards. * Ensure that all documentation complies with internal policies, client requirements, and regulatory frameworks. System Administration & Tools * Manage the document management platform (e.g., ACC, SharePoint, or similar) and ensure users follow proper workflows. * Support onboarding and training of internal and external stakeholders in document control tools and processes. * Contribute to the setup and continuous improvement of digital filing structures, workflows, and metadata standards. * Lead continuous improvements to the digital filing structure, metadata rules, workflows, approval routes, and audit trails. Project Coordination * Support Design & Delivery teams in issuing, tracking, and updating project documents and design deliverables. * Coordinate with consultants, contractors, and vendors to ensure timely submission and approval of design packages. * Prepare and maintain project documentation logs, registers, and reports for management and audits. * Ensure alignment between design, construction, and operations documentation during project handover. * Support project handover activities, ensuring alignment between design, construction, commissioning, and operations documentation (O&M manuals, test records, as-builts, asset data). Quality & Compliance * Monitor compliance with documentation standards and report on inconsistencies or non-conformities. * Support internal and external audits by ensuring documentation is complete, accurate, and accessible. * Work closely with the Quality and HSE teams to integrate document control with broader project governance processes. Requirements * Bachelor’s degree or equivalent experience in Engineering, Project Management, or Administration. * 3–5 years of experience in document control or project administration, ideally in data center, construction, or infrastructure projects. * Strong knowledge of document management systems (DMS) such as ACC, SharePoint, others. * Solid understanding of design and construction documentation workflows. * Excellent attention to detail, organizational, and time management skills. * Proficiency in English and Portuguese (spoken and written). * Experience working in mission-critical environments (data centers, energy, or industrial projects) is a plus. * Familiarity with ISO 9001 quality management systems and document control best practices. * Understanding BIM documentation processes and integrations with document control systems. * Ability to support cross-border teams and multi-vendor collaboration setups. Strongly Preferred * Experience in mission-critical environments (data centers, energy, industrial, pharma, oil & gas). * Familiarity with ISO 9001 and document control best practices. * Experience supporting cross-border teams and multi-vendor environments. * Knowledge of BIM documentation, model approval workflows, and integration with DMS platforms. * Experience working with sensitive data with tools such as Datascope.
