We are looking for a Junior Fulfilment Executive to join our logistics operations team in Surat. This role will be responsible for
coordinating the collection of goods from suppliers, monitoring the platform for ready-to-collect items, and ensuring smooth
coordination with suppliers and the internal logistics team.
The ideal candidate is detail-oriented, proactive, and comfortable working in a fast-paced operational environment.
FULFILMENT EXECUTIVE – HONG KONG We are looking for an experienced QC & Logistics Associate to join our Hong Kong office. In this role, you will be responsible for managing all incoming and outgoing diamond and jewellery shipments, ensuring timely movement and maintaining the highest standards of quality control. The primary objective is to ensure diamonds and jewellery flow in and out of the Hong Kong office with minimal delays while ensuring every item meets Nivoda’s quality standards. WHAT YOU’LL DO * Hand-deliver diamonds to local customers when needed * Collect diamonds and jewellery from local suppliers, perform quality checks, and prepare items for shipment * Perform jewellery QC, including checking for manufacturing defects, confirming product specifications (weight, size, finish), and ensuring stones are securely set * Identify any discrepancies between products received and purchase order specifications (stone quality, metal type, craftsmanship, etc.) * Inspect jewellery for damage, scratches, loose stones, and overall finishing before dispatch * Create shipments using the Nivoda platform and send labels to suppliers to ensure timely dispatch * Receive consolidated shipments via Brinks, UPS, FedEx, etc. * Mark orders as received in the Nivoda system * Liaise with suppliers regarding shipments and forward invoices to the finance team * Assist customer support teams with shipping queries, order updates, and urgent delivery requests * Support smooth daily operations of the Hong Kong office * Handle general administrative tasks as needed * Follow up with carriers (Brinks, FedEx, UPS, etc.) regarding shipment delays * Process returned diamonds and jewellery from customers * Contribute to the continuous improvement of local office processes and workflows WHAT YOU’LL NEED * Minimum 2 years of diamond and/or jewellery quality control experience * Experience managing stock or inventory of high-value products * Strong understanding of jewellery craftsmanship standards, stone setting types, metal types, and common QC defects * Logistics experience or familiarity with Brinks, FedEx, UPS, and tracking systems (preferred) * Strong attention to detail * High levels of honesty, professionalism, and integrity WHAT YOU’LL GET * Opportunity to join a fast-growing global company * Exposure to international operations and best practices * Unlimited holiday * A dynamic, collaborative, and supportive work environment

ROLE OVERVIEW We are seeking a detail-oriented and proactive Fulfilment Executive to manage and coordinate import shipments in India, with a focus on return shipment follow-up. The role involves handling international inbound shipments, coordinating with overseas offices, logistics partners, and customs agencies to ensure timely clearance and delivery while maintaining compliance with import regulations. The ideal candidate has experience in international logistics, strong customs coordination skills, and the ability to work effectively with global teams in a fast-paced environment. KEY RESPONSIBILITIES Import Shipment Management • Coordinate and monitor all inbound international shipments to India and ROW. • Track shipments from origin until final delivery to designated locations. • Ensure timely updates on shipment status to internal stakeholders. • Coordinate pickup, transportation, and delivery schedules with freight forwarders, courier partners, and warehouses. • Resolve shipment delays and operational issues proactively. Customs Clearance & Documentation • Prepare, verify, and maintain all import documentation required for customs clearance. • Coordinate with customs brokers, CHA, freight forwarders, and internal compliance teams for smooth import clearance. • Handle customs-related queries, inspections, and documentation discrepancies. • Ensure compliance with Customs and other applicable import regulations. • Liaise with finance and operations teams regarding import duties, taxes, and clearance documentation. Cross-Functional Coordination • Work closely with APAC, EMEA, and US offices to coordinate supplier shipments into India. • Collaborate with Operations, Customer Support, Finance, and ROW Hub Office teams for shipment planning and exception handling. • Ensure seamless communication between international suppliers and internal teams. Process Management • Monitor return shipment transit timelines, clearance turnaround, and delivery performance. • Identify process improvement opportunities to enhance logistics efficiency and reduce delays. REQUIREMENTS • 1–2 years of experience in international logistics, import operations, or customs coordination. • Working knowledge of customs clearance processes and import documentation. • Strong attention to detail and ability to follow compliance processes carefully. • Comfortable coordinating with cross-functional and cross-country teams (APAC, EMEA, US). • Good written and verbal communication skills. • Proactive, organised, and able to resolve operational issues independently in a fast-paced environment. • Strong computer proficiency, including working knowledge of MS Excel. • Comfort working with operational/ERP platforms. WHAT YOU'LL DO * Manage inbound and outbound shipments to and from India, including documentation, carrier coordination, and exception handling. * Coordinate with suppliers across Mumbai and Surat for timely drop-offs and collections. * Own end-to-end fulfilment for Nivoda Express — managing the full order lifecycle from QC to final dispatch & returns. * Take complete ownership of Nivoda's physical stock of diamonds and gemstones, including inventory audits and reconciliations. * Handle returns, damaged goods, and shipment exceptions with precision and proper documentation. * Generate monthly and quarterly operational reports covering shipment volumes, collection performance, and carrier KPIs. * Own the creation, maintenance, and continuous improvement of SOPs across the fulfilment function — ensuring processes are clear, current, and consistently followed. * Contribute to Business Requirements Documents (BRDs), identify operational gaps, and lead process improvement initiatives that raise the bar for efficiency and accuracy across the fulfilment team. BASIC QUALIFICATIONS * 3–4 years of experience in logistics, supply chain, or operations. * Strong data analysis skills with the ability to generate clear, structured reports. * Excellent command of Excel — pivot tables, VLOOKUPs, etc. * Strong written and verbal communication skills. * Ability to thrive in a fast-paced environment while prioritising high-value shipments and tasks with precision. * Exceptional attention to detail, ensuring every item is handled with care and exacting standards. * High level of professionalism, discretion, and integrity when managing valuable assets. * Alignment with Nivoda's company values, culture, and commitment to excellence. PREFERRED QUALIFICATIONS * Experience in the diamond, gemstone, or jewellery industry. * Familiarity with customs regulations, export/import documentation, or duty compliance. * Experience writing SOPs or BRDs in a cross-functional environment. * Exposure to BI or reporting tools (ThoughtSpot, Trevor, or similar). * Prior experience managing carrier relationships (FedEx, Brinks, or similar). * Familiarity with AI tools (e.g. Claude) to support reporting, documentation, and process improvement workflows.
