We're looking for a warm, resourceful, and organized Workplace Coordinator to own the daily experience in our London office.
London is one of our largest and fastest-growing locations, scaling from 60 people today to 120+ by end of year, and this role
sits at the center of that growth.
You'll be the face of the office, the go-to for employees and guests, and a key partner to People Ops, IT, and Finance on
everything from onboarding to events to facilities. This is a hands-on role for someone who takes pride in running a great office
and brings structure and hospitality in equal measure.
This is a full-time, in-person role, on-site five days a week, Monday through Friday, 8:30am – 5:30pm.

THE ROLE The Workplace Coordinator will support the Global Workplace team administratively and look after our London office, including the associated FM services. This role includes Security, HSE & Compliance activities and assisting our colleagues and visitors with Workplace related queries. The role will require the candidate to be able to juggle and prioritize a variety of tasks daily, support Workplace projects and represent our Yondr Workplace team in our London office 4 days a week on average. A key part of the role is helping to create a welcoming, engaging workplace environment that people genuinely enjoy coming to, fostering a positive office experience and a sense of community. MAIN RESPONSIBILITIES / Daily office management & first contact for office users and local FM vendors / Coordinating & handling service desk Workplace tickets / Ensure internal client requests are followed up and client receives proper feedback on all requests and raises actions if needed. / Financial Workplace administration (raising PO’s and adding receipts) / Contract support (onboarding vendors / keep admin part up to date) / Support Workplace team with improvement proposals & project delivery / Manages access requests and completes on/off boarding activities in various software systems. / Support Workplace team with Travel and Property administration and documentation. / Coordinating and executing recurrent and planned office related HSE & Compliance inspections. / Organizing F&B and small office events. Summary We're looking for a Workplace Operations Coordinator to keep our European offices running smoothly and serve as the go-to link between our teams in Europe and our HR/Finance teams. This role is ideal for someone who's organized, people-oriented, and comfortable wearing a lot of hats. This will be an in-person role in our London office. Responsibilities * Manage day-to-day office operations including supplies, vendor relationships, mail, and facility needs including snacks and lunches. * Coordinate office space, moving, renewals, seating arrangements, and equipment for new and existing employees. * Serve as the first point of contact for employee questions related to HR policies, training, benefits, and onboarding (including interns every year). * Support HR and IT with onboarding and offboarding logistics, working visas, maintaining employee records, and scheduling interviews. * Plan and coordinate office events, meetings, and team activities. * Track and manage office budgets and submit expense reports for office needs. * Remotely assist with snacks and supplies for other office locations. * Ensure the workplace meets health, safety, and legal compliance standards. * Interface with our local HR vendors. * Identify opportunities to improve office processes and employee experience and retention. * Provide customer support for our company's merch store. * Help with travel and local events including our yearly company meet-up. What You'll Be Working On The Role will be based in our London office and will report to the 2D/ 3D Designer- UKI. These duties may be reviewed and modified from time to time based on mutual needs. This role will support the UKI Designer by working successfully on adapting global campaigns and evergreen assets to produce regional-specific 3D & 2D outputs in all physical retail environments that meets UKI Visual Merchandising (VM) and business objectives. Primary responsibilities include assisting designing creative displays whilst ensuring adherence to Global VM guidelines. This includes (but not limited to) permanent VM displays, in-store collateral and consumer-facing communication, pricing updates and pop-up and brand activations in key UKI retailers. This role will support the UKI Designer also with large-scale Pop ups, Events and Marketing activations. Under the supervision of INT Creative 360 team and UKI Designer, the role will also be working across key marketing, media & PR initiatives, supporting the team on localisation of 2D assets across various formats, such as large billboards, retailer-led campaigns, in-store and shopping mall takeovers. You will work as the brand guardian in collaboration with the UKI Designer, Senior Marketing Manager & their team, to execute and/or guide agencies across a variation of different projects, ensuring we are localising our campaigns whilst adhering to global VM guidelines.
