Reporting to the Operations Maintenance Supervisor, the Service Administrator helps maintain the Service database via JDE and other software platforms, keeping records organized and accurate. This role requires strong attention to detail, interdepartmental support and a commitment to data integrity. The Administrator plays a key role in supporting not only the service administration team, but also technicians, sales, and management by ensuring all stakeholders have the information and resources they need. This includes helping streamline workflows, facilitating communication, and contributing to a collaborative and responsive service environment. Key Duties & Responsibilities, include but not limited to: * Track and follow up on warranty items. * Writing up quotes for various departments and tracking approval status with client. * Support plumbing team administrative requirements, including submission of backflow test reports to applicable municipalities. * Support projects team administrative requirements. * Generate, update, and receive Work Orders and Purchase Orders. * Monitor and manage work order backlog, prioritizing tasks and following up to ensure timely completion. * Prepare completed Work Orders for billing, ensuring all labour, materials, and purchase orders are accurately recorded. * Answer Service and Administration phone lines, field technician correspondence and requests in a timely manner. * Support Service – Dispatch regarding assigned contracts and standard daily dispatching support as necessary. * Backup for Billing Processes * Perform other related duties as assigned. SKILLS, ABILITIES, AND OTHER REQUIREMENTS * Strong computer skills, including Word, Excel, and Outlook. * Knowledge of SharePoint, Teams, and other collaboration tools are an asset * Familiarity with the Microsoft Windows operating system * Previous experience with proven ability to learn ERP applications, i.e. JDE, SAP, etc. preferred * Ability to communicate clearly and effectively and relate to technicians, customers, and co-worker needs * Maintain a professional demeanor at all times with fellow employees and customers * Good attitude and willingness to learn * Ability to work individually and with a team The expected salary range for this role is between $51,250 to $56,375 per year. The starting salary will be determined based on several factors such as the successful candidate’s qualifications, including but not limited to education and experience. Base pay is one component of Black & McDonald’s total rewards package. Primary Function The Service Administrator provides operational, administrative, and customer support to service operations by coordinating service activities, maintaining accurate records and financial transactions, and facilitating effective communication between customers, technicians, and internal stakeholders. Essential Duties Coordinate Service Operations and Fleet Readiness * Open, assign, monitor, and close service calls to support fleet and customer service requirements * Prioritize equipment repairs, maintenance, and readiness activities to maximize fleet availability * Monitor equipment status and communicate service priorities to appropriate stakeholders Support multiple locations and assist with operational initiatives and special projects * Participate in an after-hours on-call rotation to support service operations * Support Service Technicians and Repair Execution * Coordinate repair activities and work assignments to align with operational priorities * Verify technician labor entries for accuracy and consistency with completed work * Assist technicians with administrative, system, and documentation requirements * Facilitate communication between technicians, service teams, and operational personnel to support efficient service delivery Manage Service Administration and Financial Processes * Prepare customer estimates for equipment damage, cleaning charges, loss recovery, and repair work * Process purchase orders, expenses, invoices, and billings associated with service operations * Review, route, and maintain warranty documentation in accordance with company procedures * Maintain accurate service records, work orders, and supporting documentation * Ensure service transactions and administrative processes are completed accurately and timely Deliver Customer Support and Communication * Respond to customer inquiries regarding service, repairs, and equipment status * Resolve customer concerns and provide timely follow-up to ensure satisfaction * Communicate service updates and repair progress to customers and internal stakeholders * Coordinate equipment movement and serve as a liaison between customers, coordinators, and technicians * Build and maintain effective working relationships that support a positive customer experience Minimum Requirements Education High School Diploma. Customer & Internal Communication * Communicate with customers via phone, email, and other tools. * Provide regular updates on complaint status and outcomes, including RMA, RCA, and 8D updates. * Coordinate with Service Technicians, Quality, R&D teams, A/R, SALES. Project engineering, Logistics, sales support, and sales order team Complaint Evaluation & Closure * Track root cause analysis and complaint trends in Complaint Management Software. * Assist in product failure analysis documentation for customer communication. * Finalize complaints by uploading findings and closing financial records. Training & Support * Train new employees on complaint handling and system usage. * Perform other duties as assigned.
