keep our corporate compliance tight, and act as the operational engine that keeps our lean legal team moving fast.
In our Legal department, we need a commercially minded operational partner to support our Head of Legal in managing corporate
governance, regulatory filings, and day-to-day legal operations. This fits into our larger need to scale our operations seamlessly
across retail, e-commerce, and logistics—ensuring our corporate records are immaculate, our compliance is tight, and our lean team
can move fast.
Within your first few months, you’d get up to speed on our corporate record-keeping, organize our legal files, and master our
day-to-day administrative workflows. In a year, you’ll be proud to say you’ve built a highly organized, efficient legal operations
foundation that keeps the business secure and compliant.

You'll be joining a lean, highly collaborative legal team reporting directly to our Head of Legal. We act as proactive partners to
almost every team at Article—including Product, Finance, People, and Operations. This is a high-visibility, high-ownership role
where you'll have a direct hand in shaping how our legal function operates.
We are a hybrid team - you'll be in our Vancouver office 3 days per week (Monday to Wednesday).

Your Mission As Paralegal / Contracts Manager, you will support the Legal Counsel and wider business in the review, drafting, negotiation, administration and management of a broad range of commercial agreements. You will play a central role in enabling efficient and compliant contracting across both public and private sector customers, while supporting broader legal and commercial activities. You will work collaboratively with stakeholders across sales, procurement, operations, finance, bids/tenders and senior leadership, helping balance legal risk with commercial objectives in a fast-paced environment. How you’ll fit in to the big picture You will be a key member of the in-house legal function, acting as a first point of contact for contracting matters and helping to ensure the business operates efficiently, safely and in line with its risk appetite. Your role will be instrumental in improving contract turnaround times, reducing legal bottlenecks and strengthening contract governance and consistency across the organisation. WHAT YOU'LL BE DOING As our new Paralegal, you'll play an important role in supporting our global Legal team. Your work will include a mix of operational responsibilities and continuous improvement initiatives, including: CORPORATE AND SUBSIDIARY GOVERNANCE * Maintaining company records and registers across legal entities. * Preparing and coordinating board and shareholder documentation, powers of attorney, and statutory filings. * Supporting annual compliance, governance, and audit processes. * Managing KYC requests and signature processes. COMPLIANCE AND LEGAL OPERATIONS * Supporting compliance initiatives and recurring governance activities. * Maintaining legal documentation, templates, and knowledge resources. * Coordinating legal workflows and helping improve operational processes. * Supporting the implementation and adoption of legal tools and systems. ADMINISTRATIVE AND FINANCIAL COORDINATION * Coordinating invoice and billing processes with the Finance team and external law firms. * Supporting vendor onboarding and related administrative processes. * Maintaining accurate records across legal systems and databases. CROSS-FUNCTIONAL AND PROJECT SUPPORT * Working closely with Legal, Finance, Compliance, People, and other stakeholders on recurring and ad hoc projects. * Helping improve internal processes, tools, and ways of working across the Legal team. * Supporting operational projects that help the Legal function scale effectively. OUR HUMBLE EXPECTATIONS * Previous experience as a Legal Assistant, Paralegal, or in a similar role, ideally in an international company or law firm. * Strong organizational and project management skills, with the ability to prioritize and manage multiple tasks. * Excellent attention to detail and a proactive, structured way of working. * Great communication and collaboration skills—you'll work with stakeholders across the business. * Fluency in English (Finnish or other languages are a plus). * Experience with legal systems or tools (for example, entity management or document management systems) is a plus. * Experience using AI tools to work more efficiently. We're looking for a Paralegal to join our internal legal team and help keep Railsware's day to day legal operations running smoothly. You'll work closely with our People Team, finance, and security colleagues, supporting everything from onboarding paperwork to yearly compliance processes. This is a great fit if you're early in your legal career, curious about how legal works inside a fast moving tech company, and excited to learn by doing real work, not just observing it. YOUR SKILLS * Degree in Law * Understanding of core legal principles under EU and US law * Strong tech literacy, ability to learn new tools and systems quickly * Sharp attention to detail * Curiosity, proactive approach, and eagerness to learn * English: B2 or higher WOULD BE A PLUS * Experience working in or around the IT sphere YOUR RESPONSIBILITIES * Support repeatable legal processes, including data privacy, W-8BEN filings, trademarks registration, and other corporate processes. * Provide timely, high quality legal support to teams across Railsware, covering team requests, onboarding activities, and product or project related legal questions. * Prepare, draft, review, and maintain legal documents such as agreements and policies. * Support the company's compliance processes. * Conduct legal research on a range of legal matters as they come up. * Support the legal side of our cooperation with clients and partners.
