DEINE AUFGABEN Du steuerst den Informationsfluss rund ums Board E-Mails, LinkedIn, Post, Telefon – du bist die erste Instanz. Du priorisierst, clusterst und sorgst dafür, dass die Kommunikation gut fließt. Für jede relevante Anfrage gibt es einen Owner und einen Entwurf. Das Board gibt nur noch frei. Du machst aus jedem Termin ein scharfes Ereignis Kein Meeting ohne Briefing-Paket, kein Call ohne Follow-up. Du koordinierst Kalender, Räume und Unterlagen, fasst Entscheidungen in strukturierten Action-Item-Listen zusammen und sorgst dafür, dass vereinbarte Dinge tatsächlich passieren. Du hältst die richtigen Beziehungen am Laufen Stakeholder-Management ist bei dir kein Buzzword, sondern Handwerk. Du pflegst eine Top-Stakeholder-Liste, steuerst Kontakt-Rhythmen und bereitest Ansprachen sowie Gesprächspartner-Dossiers so vor, dass das Board immer den richtigen Ton trifft – Datenpflege in Salesforce inklusive. Du orchestrierst Events auf höchstem Niveau Aufsichtsratssitzungen, CEO Dinners, strategische Besuchergruppen – du organisierst von der Logistik-Checkliste bis zum einheitlichen Foliensatz alles, was einen professionellen Eindruck ausmacht. Nachbereitung und Action-Tracking sind für dich selbstverständlich. Du planst Reisen so, dass sie produktiv sind Zweck, Route, Buchungen, Trip Book und Spesenabrechnung – du optimierst den Ablauf, minimierst Leerlauf und sorgst dafür, dass das Board auch unterwegs kommunikationsfähig bleibt. Du bringst Keynotes auf die Bühne Vortrags-Intake, Storyline, Foliensatz, Qualitätscheck (DE/EN), Technik-Koordination – du begleitest den gesamten Prozess vom ersten Briefing bis zur Nachbereitung und baust so eine wachsende Präsentationsbibliothek auf. Du gibst dem Board ein Gesicht auf Social Media Themenplanung, Posting-Rhythmus, Entwürfe in der richtigen Stimme, Reaktion auf Kommentare, du verantwortest die Außenwirkung von der Idee bis zur Freigabe. So bleibt das Board sichtbar, nahbar und unverwechselbar, ohne dass Sichtbarkeit dem Zufall überlassen wird. Du machst KI zum Hebel des Boards Du bedienst KI-Tools nicht nur, du orchestrierst sie: Recherchen, Entwürfe, Zusammenfassungen, Präsentationen und Dossiers entstehen bei dir schneller und schärfer, weil du weißt, welches Tool wann den Unterschied macht. Neue Anwendungen probierst du aus, bevor jemand danach fragt, und machst das Beste davon im Team nutzbar. DEIN PROFIL * Abgeschlossenes Hochschulstudium * 2–3 Jahre Erfahrung in einer vergleichbaren Assistenz- oder Chief-of-Staff-Rolle, idealerweise auf C-Level oder einem schnell wachsenden Unternehmen * Exzellentes Deutsch (mind. ABOUT THE ROLE We’re looking for an experienced, full-time Executive Assistant to join our team in Berlin and support our Co-CEOs, Lennard and Judith. In this role, you’ll work closely with our Co-CEOs, Lennard and Judith, as part of a young, entrepreneurial team. We’re looking for someone highly organized, calm, self-motivated, and adaptable. WHAT YOU WILL DO * Internal organisation and steering. You run the CEO's operating rhythm. Calendar, inbox triage, meeting preparation, and follow-through all sit with you. You keep an eye on details and you keep the leadership cadence (weeklies, board preparation, offsites) moving. * External travel and speaking. You plan and book complex international travel end to end, and you manage the speaking pipeline: inbound requests, selection, briefing packs, and logistics on the ground. * C-level relationship management. You become the trusted point of contact for the CEO's most important external relationships: customers, partners, and investors. You track who needs a touchpoint and when, and protect these relationships through reliability and proactivity. * Augmentation and anticipation. You work half a step ahead of everyone else in the room. You can identify a bottleneck before it forms. You build the systems, defaults and briefings that let the CEO spend their time on judgement rather than logistics. * Admin. You manage expenses and finance admin and can support with occasional personal assistant (PA) duties as needed. * CEO office collaboration. You’ll work in very close coordination with the CEO office, which includes a Chief of Staff and CEO Office Manager who are responsible for operational processes in the CEO office. Incl. performance management, KPI tracking, leadership accountability and strategic projects. Everyone works together in person because the hardest problems get solved faster at a whiteboard than in a Slack thread. Conversations happen faster, problems get solved quicker, and we actually know each other. Days start at 8:30. Lunch & dinner are together. We run, go to the gym, and take care of ourselves. Health is not separate from work here, it is part of how we work well. The vibe is calm but intense. No one is yelling or panicking. But everyone is working hard on things that matter. COMPENSATION Salaries are transparent and tied to levels, not negotiation. All roles include equity. We will figure out the right level together based on your experience and scope.
