We're looking for a People Administration Specialist to support our People team with the day-to-day administration that keeps things running smoothly for every TrueLayerista. This is a junior, hands-on role where you'll work closely with our People Partners and People Operations team, supporting our Italian population while contributing to broader People Operations across the team. WHAT WE EXPECT FROM YOU AS A PEOPLE ADMINISTRATION SPECIALIST: 🔁 Support Employee Lifecycle Administration * Help manage key administrative processes – onboarding, contract changes, and offboarding – ensuring accuracy at every step. * Keep employee records and documentation compliant with local law and GDPR, and audit-ready at all times. * Support audits and help respond to requests from authorities as needed. 💼 Support Payroll and Benefits Administration * Support the review of monthly payslips and ensure timely payments to all relevant funds. * Handle day-to-day administration of meal vouchers and TFR for Italian employees. * Prepare HR documents and forms required by local regulations or providers. * Monitor the legal inbox, ensuring timely follow-up on incoming communications. * Support the activation of interprofessional training funds * Coordinate mandatory health and safety training and medical checks (D.Lgs. 81/08). 💻 Maintain People Systems and Data Accuracy * Manage employee data in our HRIS (HiBob), ensuring accuracy and clean records. * Build and maintain templates and workflows to improve efficiency and consistency. The job The People Operations Specialist ensures smooth, compliant, and human-centred People Ops delivery across the employee lifecycle — and helps strengthen employee engagement across Flo. RESPONSIBILITIES/TASKS EMPLOYEE LIFECYCLE DELIVERY * Act as the primary People Operations contact for our employees in Lithuania, providing lifecycle support across onboarding, offboarding, benefits, leave, payroll inputs, and policy adherence. * Support compliance with employment legislation by partnering with Legal and People teams. * Handle employee lifecycle updates in Hibob, SODRA and BSS, keeping records accurate and up to date. * Own immigration processes and procedures: facilitate timely work permit extensions for expats in Lithuania and support new job permits and change-of-employer processes for joiners. * Maintain and optimise people data integrity in HiBob and other systems; provide analytics, dashboards, and reports to stakeholders to support decision-making. * Collaborate with cross-functional teams (Finance, Legal, Compliance, IT) to keep workflows connected and operational delivery smooth. AI-FIRST WORKFLOW IMPROVEMENT * Analyse, simplify, and automate workflows using AI and other tools (Google Sheets, lightweight scripts, automations) to reduce manual touchpoints and improve reliability. * Contribute ideas and ship small improvements continuously (templates, checklists, structured intake forms, better tracking, clearer documentation), learning by doing and building on the go. This role is a fixed term contract. The salary range for this role is from €2,600 per month. Reporting to the Director of Global People Operations, you will own the evolution of our HR tech stack, moving us from manual processes to sophisticated, AI-driven automation that unlocks capacity across the entire People team. This is a high-impact, individual contributor role (P3) designed for a systems-thinker who wants to enable a modern, scalable and efficient People technology ecosystem. The ideal candidate has a deep curiosity for HR technology and at least 3 years of experience in HRIS or People Analytics. You should be someone who isn’t just comfortable with data, but someone who finds joy in "breaking" a workflow to build a better, more automated version of it. You are an early adopter of AI tools and have the technical aptitude to translate complex business needs into elegant system configurations.
