As a Clinical Operations Specialist, your mission is to ensure every dentist we support has a seamless, high-quality, and genuinely delightful experience from start to finish. From day one, you’ll be a key player in our clinical support team, supporting dentists throughout their case journey. As a frontline team member, you’ll also contribute to mapping out improvements to our service as we scale.

Delivering an exceptional case experience to dentists and orthodontists working with 32Co.
Acting as a key member of our clinical support team - answering dentist questions, handling problems, and finding solutions.

Being hands-on with clinical and operational challenges - spotting issues early and helping shape clear, workable solutions.
Being the voice of our dentists, ensuring their needs are clearly understood and advocating for service excellence in cross-functional decisions.
Who you are
A qualified dentist or an experienced dental healthcare professional (3+ years).
Strong verbal and written communication skills in English.
Experience working within a corporate or health-tech environment is desirable.
Proactive, resourceful, and comfortable figuring things out independently.
Highly empathetic with a strong customer-centric mindset - you instinctively know what “unreasonably excellent” feels like.

The Role As a Clinical Operations Specialist, your mission is to ensure every dentist we support has a seamless, high-quality and genuinely delightful experience as they deliver mandibular advancement devices (MAD) for snoring and obstructive sleep apnoea. You'll be a frontline voice in our clinical operations team from day one, and help shape the function as Aerox Health grows. What you'll be doing Delivering an exceptional case experience to dentists providing sleep products with Aerox Health. Acting as a key clinical point of contact, answering dentists' questions, handling problems and finding solutions across the case journey with internal stakeholders. Embedding AI into how we work, with a borderline obsession to make things simpler, faster and better. Identifying areas to improve and opportunities to scale the function as volumes grow. Working across sleep assessments, treatment planning and reviews to ensure each step is clinically robust. ABOUT DELFA Billions of people still suffer from every-day diseases. One key reason? Clinical trials are broken. Despite $120 billion spent each year, most trials are delayed due to bottlenecks like patient recruitment. Delfa is fixing this with autonomous AI agents. We're building AI agents to automate clinical trials. In less than a year from launch we’ve already: * Deployed onto 300+ trials across multiple conditions * Reached seven figures in ARR, growing 25% MoM * Raised an oversubscribed $3.8m seed from tier-one AI investors WHAT YOU'LL DO You’ll help design, review, test, and continuously improve the AI agents that interact with patients and support clinical trial sites every day. This role sits at the intersection of clinical operations, AI agent design, quality assurance, and customer delivery. You’ll use AI tools extensively, but your judgment, attention to detail, and ability to spot issues will be what makes the work reliable. You will: * Use Delfa’s AI workflows to extract inclusion/exclusion criteria from clinical study protocols, then manually review and refine the outputs for accuracy * Turn clinical eligibility criteria into clear, patient-friendly screening questions suitable for voice and SMS agents * Create and review voice agent reports that describe the agent’s screening logic, conversation flow, escalation rules, and operational setup * Support script creation for IRB/ethics submissions, adapting agent scripts to customer templates while preserving clinical and operational accuracy * Assist with AI agent management, including manual patches and configuration updates where API-based changes are not yet suitable * Sample real calls and patient interactions to identify issues, test fixes, and add recurring items to the monitoring list to inform future automated QA * Support pre-release testing of AI agents before they go live with patients * Once comfortable, design new AI agents end-to-end, which will then be reviewed and tested by senior team members * Work closely with product, engineering, and customer-facing teams to ensure agents are safe, accurate, and operationally useful for clinical research sites YOU'LL BE A GREAT FIT IF… You have attention to detail. You’re comfortable reviewing dense clinical or operational documents and can spot when something is missing, unclear, or inconsistent. You are comfortable using AI tools. You don’t need to be an engineer, but you should be excited to use prompts, structured workflows, and internal tools to produce high-quality work faster. You are clinically or scientifically literate. Experience with clinical trials, healthcare, life sciences, medicine, nursing, pharmacy, psychology, or biomedical sciences would be valuable. You care about quality. Our agents interact with real patients and support real clinical trials, so accuracy matters. You take pride in work that is careful, clear, and reliable. Phone & Schedule Specialist is responsible for key communication to callers into the practice. This position works collaboratively with Front and Back Office Personnel, Physicians, Supervisors, and all ancillary services. Success is measured not by how many phone calls can be quickly transferred but by how many of the calls can be addressed without having to transfer the call and/or by how thoroughly the information necessary for a return call by the appropriate department is gathered, documented and available to the end user. Responsibilities include: * Answers all incoming calls in all assigned phone queues in a courteous, welcoming, professional & timely manner. * Gathers and documents all information from the caller thoroughly and accurately. * Answers as many callers’ questions as possible without the need for transferring the call. * Thoroughly understands the reason for the call. * Initiates telephone screening by determining call status and handling calls according to established Panoramic Health policy and procedure. * Cancels or confirms patient visits as requested by callers. * Accurately updates and inputs all relevant data into computer. * May rotate in offices for clinical duties as needed. * Works special communications projects such as Reschedules, Patient No-Shows, Referral Scheduling, etc. as assigned. * Attends all mandatory staff meetings. * Complies with all OSHA and HIPAA policies along with all policies and procedures established by Panoramic Health. * Maintains a professional and courteous environment. * Maintains strict patient and employee confidentiality. * Perform other duties and responsibilities as required, assigned, or requested. Qualifications: * High School diploma or GED. * Medical assistant degree, diploma, or certificate strongly preferred. * Front or back-office experience and/or 2 years’ experience as telephone receptionist/customer service representative in a clinical or healthcare organization. * Broad understanding of clinical operations and front office. * Advanced computer skills in MS Office Suite, NextGen, Centricity, Medical Management, MS4, Practice Plus, Athenahealth and other applications/systems. * Detail-oriented with excellent follow-up. * Excellent planning skills with the ability to define, analyze and resolve issues quickly and accurately. * Ability to juggle multiple priorities successfully. * Intelligent, self-confident, practical thinker with sound judgment. * Extremely strong organizational and communication skills. * Ability to develop both tactical and strategic solutions to business challenges.
