THE ROLE As a Legal Operations Specialist in Legora’s Stockholm office, you will play a central role in building and scaling the operational infrastructure of one of the fastest-growing legal technology companies globally. You will work at the intersection of legal, technology, and operations — owning the systems, workflows, and knowledge architecture that enable Legora's legal function and broader organisation to operate at scale. A core part of this role is building internal knowledge databases and driving integrations that unlock the full value of Legora's own platform within our organisation. This role requires a high degree of independence, strong systems thinking, and the ability to drive cross-functional change across multiple teams and time zones. You will partner closely with Legal, People, Finance, RevOps, Product, and Customer Success, becoming an integral part of how Legora operationalises its legal and commercial knowledge. You will report to the General Counsel, based at our Stockholm headquarters. Legora’s legal function is a forward-deployed, AI-first team working across multiple jurisdictions and legal disciplines. We act as trusted partners to the business, with particular focus on product development, operations, and commercial initiatives. As a legal technology company, we hold ourselves to the highest standard when it comes to our own legal operations — and we expect this role to help us lead by example. Beyond strong operational judgment, we value curiosity, problem-solving, and a proactive mindset. WHAT YOU WILL BE DOING * Own the design and build-out of Legora's internal legal knowledge databases, ensuring that contracts, policies, playbooks, and institutional knowledge are structured, searchable, and organized. * Drive integrations between Legora's own platform and internal systems (CLM, CRM, HRIS, finance tools) to maximise the value Legora derives from its own product and ensure seamless data flows across the organisation. * Establish and maintain structured contract management infrastructure — including metadata schemas, parent-child contract linking, deduplication standards, and a deviation/exception registry for non-standard terms. * Design and implement cross-functional handoff protocols so that relevant contract terms, exceptions, and commitments automatically surface to Finance, RevOps, Product, and Customer Success at the point of execution. * Partner with the Legal, People, and Operations teams to identify process bottlenecks, drive continuous improvement, and ensure legal operations practices reflect Legora's standards and values. * Contribute to governance, compliance, and risk mitigation initiatives, ensuring that operational infrastructure supports Legora's obligations as it scales internationally. WHO YOU ARE * 2-5 years of experience in legal operations, contract management, or a related operational role within a law firm or in-house legal team. * Proficiency in both spoken and written English. Additional European language skills are meritorious. * Deep, granular understanding of technology stacks, APIs, data architecture, and system interoperability. Hands-on experience implementing, configuring, or building legal technology tools, knowledge management systems, or integration layers is essential. * Demonstrable experience in legal operations, legal technology, or a related technical-operational field. A relevant degree (e.g., law, computer science, engineering, or information systems) is meritorious but not required. Prior experience in knowledge management teams or in supporting legal professionals is particularly valued. * Demonstrated ability to drive cross-functional change and influence senior stakeholders across Legal, Finance, Product, and Operations. * Experience in high-growth, international, or technology-driven organisations is highly valued. * You are operationally minded and solutions-oriented — you focus on building infrastructure that enables the business while appropriately managing risk. * You communicate complex operational and legal concepts clearly and translate them into structured, actionable processes. * You thrive in a fast-paced, dynamic, entrepreneurial environment and are comfortable operating with autonomy and ambiguity. * A deep technical and genuine excitement about building with technology is meritorious. You are likely not content to be a consumer of tools — you want to get under the hood, write code where needed, and architect systems that push the boundaries of what a best-in-class legal operations function looks like. A keen interest in AI, data infrastructure, and Legora's own platform is essential. Legora is an Equal Opportunity Employer At Legora, we believe great teams are built on diversity of thought and experience. In Europe that means new offices in Madrid, Paris, and Milan opening now, with more markets to follow. Hiring the sales and GTM talent to build those teams, across multiple languages, cultures, and talent pools simultaneously, is one of the most complex recruiting challenges in the business right now. Based in Stockholm or London, you'll lead GTM recruiting across Europe, managing a team of GTM Talent Partners and working closely with the European revenue leadership as Legora builds out its continental presence. You'll report to the Director of GTM Recruiting and be accountable for the quality, pace, and consistency of sales and GTM hiring across the region. The revenue leaders you'll partner with are collaborative, humble, and genuinely invested in recruiting. They show up, they prioritise it, and they make the process work. What You'll Do * Lead and develop a team of GTM Talent Partners in Europe, setting the standard for how European sales and GTM hiring gets done and building the capacity to keep pace with a market expansion that is accelerating. * Own the relationship with European GTM leadership as a genuine hiring partner, contributing to role scoping, success profiles, and hiring strategy across multiple markets rather than waiting to be handed a brief. * Build and maintain proactive talent pipelines across European GTM roles, staying ahead of demand as Legora enters new markets and scales existing ones simultaneously. Stockholm, London, Madrid, Paris, Munich and Milan are all active or imminent. * Run structured, data-informed hiring processes that maintain a consistently high bar across pace and quality, giving revenue leaders a clear picture of where searches stand across every market. * Hold the standard for candidate experience across your team, from first conversation through to offer, making sure every interaction reflects the quality of the product and the people behind it. * Partner closely with the Director of GTM Recruiting and the broader TA team on language requirements, market-specific sourcing strategies, and process consistency as the European footprint grows. What You Bring You've managed GTM recruiting across multiple European markets at a company where the sales bar was high and the expansion plan kept changing. You understand how hiring norms, candidate expectations, and talent density differ across the Nordics, DACH, and Southern Europe, and you build your approach accordingly. We're looking for: * Meaningful experience managing GTM or sales recruiters at a high-growth, VC-backed company. You've led a team, developed individual contributors, and been accountable for outcomes rather than just activity. * A genuine understanding of the European GTM talent landscape across multiple markets. You know what strong looks like for a sales hire in Stockholm, Madrid, Munich, Milan and Paris, and you hold the same bar across all of them. * The depth to hold credible conversations with revenue leaders about what strong looks like at each level. You understand the difference between a good CV and a good GTM hire, and you don't lower the bar when searches get difficult in new markets. * Experience hiring across several European markets, ideally including some combination of the Nordics, DACH, and Southern Europe. Language skills beyond English are a strong plus. * A structured, data-driven approach to running searches. You track the right things, use pipeline data to make decisions, and keep hiring managers informed without being chased. * A hiring bar that doesn't move under pressure. When searches get hard in a new market, you change the approach, not the standard. The role We’re looking for an exceptional Executive Assistant to partner with our senior leadership. This is not a traditional support role. You’ll manage calendars, travel and logistics, but you’ll also go beyond that: shaping how the company shares information, stays aligned, and operates day-to-day. What you will be doing: * Own calendar, travel logistics and email for our VP of Revenue and VP of Strategic Accounts - not just managing their time, but designing it to reflect shifting priorities and strategic focus. * Coordinate internal and external meetings across multiple time zones - making sure every touchpoint is prepared, purposeful and followed up. * Lead planning and execution of key team moments - including recurring meetings, offsites, workshops and informal gatherings. * Triage inbound requests, protect focus time and help communication flow smoothly across the team. * Partnering closely with leadership to flag blockers, support decision-making and help the company stay one step ahead. * Provide operational support to keep projects, initiatives and team collaboration on track. * Help strengthen collaboration and coordination between the Strategic Accounts and broader EMEA teams, ensuring alignment on priorities and execution. * Act as a central point of coordination across the company, collaborating closely with teams including Operations, Product, Sales and Legal. * Take initiative to improve the way the team operates - spotting friction points and building better systems. What you bring * 5+ years experience in roles like Executive Assistant, Team Coordinator or Business Operations - ideally in a high-growth or international environment. * A proactive, problem-solving mindset - you act before issues arise and take full ownership. * Deep attention to detail and a love of structure - you make things faster, smoother, clearer. * Strong communication skills - fluent in English, confident in handling sensitive or high-stakes communication. * High discretion and maturity - you know how to navigate different stakeholders and build trust. * Comfort with tools like Google Workspace, Slack and Notion - and a quick learner when new systems come in. * A genuine desire to support others and make the team better - you take pride in the work behind the scenes. What makes this role special You won’t simply be executing tasks on behalf of others; you’ll play an active role in designing better ways of working across the company. The position comes with high exposure, giving you the chance to work closely with our senior leadership team and build relationships across the company. As Legora continues to scale, this role offers the opportunity to play a meaningful part in that journey while creating pathways for your own growth and development. And as Legora grows, so will this role, providing you with opportunities to shape your own career path - whether that leads toward business operations, people-focused tracks, or team leadership.
