Help Keep Our Operations Running Smoothly Our Facilities Coordinator plays a key role in supporting the maintenance and operation of our warehouse facilities and equipment. This position is responsible for coordinating preventative maintenance schedules, responding to urgent maintenance requests, managing third-party contractors, tracking operating expenses, and ensuring compliance with health and safety requirements. Maintain spare parts, common tools and supply inventory levels for all equipment using software tools available. Maintain records to comply with health and safety requirements. Manage requisitions to invoices and report on costs versus budgets through software tools available. Manage delegated 3 rd party maintenance programs according to contract terms as required. Provide input for budgets, best practices, and preventative maintenance work tasks with schedules. Report on preventative maintenance and on demand Key Point Indicators using software tools available. Assist in managing facilities and equipment activities during absence of Supervisors/Manager. Fill in and support building and equipment maintenance and repair in operators’ absences/critical times. We’re looking for: Building Operator Class 1 certification, PEMAC certification, Business Administration education, or equivalent experience/education in facilities administration, maintenance, or repair. Minimum 5 years of experience in facility coordination, maintenance operations, or a skilled trade environment; trade certification/designation is considered an asset. Minimum 5 years of experience processing, tracking, and reconciling purchase orders, work orders, invoices, and related documentation. Proficiency with Microsoft Office Suite and computerized maintenance management systems (CMMS). Strong verbal and written communication skills, with the ability to communicate effectively across all levels of the organization. Proven ability to build relationships and collaborate effectively with cross-functional teams and external vendors. Sound understanding of preventative maintenance principles and facility maintenance best practices. Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment. Flexibility to work varying shifts and schedules as required to support operational needs. The ability to be onsite 5 days a week at our corporate office in St. Jacobs, to accommodate the needs of the role. Patient care duties include administer and document injections, dispense and document medications as directed by physician/provider; assist with coordination of further patient care and follow-up and carry out tasks as directed by physician/provider. Arranges education and training sessions for professional development. 9. Provides input to manager for employee performance appraisals and goal setting. 10. In conjunction with the manager, participates in the interviewing process for new staff and provides feedback for hiring. 11. Monitors clinical equipment and works with the biomedical department to maintain and address any equipment concerns. 12. Under the general supervision of the Promotions and Marketing Supervisor, the Sponsorship and Grant Coordinator performs a variety of professional and administrative functions to generate vital revenue for the support of department programs and events within the context and culture of philanthropy. Establishes and maintains professional relationships with representatives from local, regional and national organizations, businesses, school districts and government agencies to seek out and secure sponsorships, grants, alliances, and partnerships. ESSENTIAL FUNCTIONS (Performs some or all of the following) * Works with representatives from partnering organizations and department staff to create, solicit, and execute sponsorship packages for department programs, classes, events, fields, courts and facilities. Creates tiered sponsorship and partnership packages based on department needs. Manages contracts to ensure deliverables are met across all available social media platforms, City website, City signage, electronic newsletters, and printed flyers, brochures, and catalogs. * Seeks grant opportunities and collaborates with staff to prepare grant applications for programming, park amenities, and equipment. Ensures reports are completed and submitted as required. Professional Functions: * Travels locally to solicit sponsorships and partnerships with businesses, non-profit and for-profit organizations, school districts, and other agencies. Administrative Functions: * Prepares detailed reports for management staff regarding available sponsorship and partnership opportunities, including key performance indicators such as sponsorships received, partnerships established, revenue generated and expenses incurred. * Manages sponsorship renewals and negotiations; oversees communication with sponsors. * Analyzes and interprets market research, utilizing knowledge and metrics to generate and cultivate new and prospective clients. * Reviews, analyzes, and prepares reports related to grants to ensure requirements are met. Presents reports to management and commissions. * Collaborates with staff during the development of digital content for social media platforms, City signage, City web pages, presentations and electronic newsletters to ensure contracted deliverables and key objectives are met accurately. * Collaborates with staff during the development of content and layout of printed brochures, fliers, newsletters, catalogs, and other materials for public distribution to ensure contracted deliverables and key objectives are met accurately. * Ensures promotional materials contain accurate and current information related to sponsors, partners and grantors. * Performs related duties as assigned. MINIMUM QUALIFICATIONS Education and Experience: College coursework or Associate’s degree, Bachelor’s degree preferred, in business administration, communications; public relations, marketing, or related area; AND Two (2) years of experience in sponsorship, underwriting, corporate/media sales or fundraising; Two (2) years progressively responsible administrative experience performing above and related duties; OR An equivalent combination of education and experience that provides the required knowledge, skills, and abilities to perform the essential functions of the job. Knowledge, Skills, and Abilities: Considerable knowledge of principles, practices, and methods of public relations; sponsorship and partnership contracts and deliverables related to parks and recreation; principles, practices, and methods in writing, editing, page design, and layouts of publications, administrative principles and practices of contract management; current trends across various social media platforms; basic principles of computer applications related to the work, including word processing and graphics software; principles and practices of parks and recreation programming and special events coordination. Thorough knowledge of English language, including spelling, grammar, punctuation, and vocabulary. Bilingual skills preferred.
