students, staff, faculty, visitors, suppliers, and external stakeholders at the Madrid Campus.
This role is the first point of contact for the campus and supports daily reception, administrative coordination, campus
operations, events, supplier follow-up, and communication between departments. The role requires strong communication, attention
to detail, discretion, and a service-oriented approach in a fast-paced international university environment.

What Success Looks Like: Your Impact * Supervising procedural aspects of the hotel’s front office (Including Front Desk, Valet, PBX, and Reservations if applicable), maintaining a presence during peak traffic periods. * Ensuring guest and employee needs and concerns are responded to in a timely, professional and friendly manner with a focus on service recovery when applicable. * Performing front desk agent duties as necessary, such as registration, check out and processing room reservations for guests. * Ensuring proper execution of VIP requirements, including room requests, amenity placement, welcome letters, gifts, etc. * Ensuring that all safety and security policies and procedures are followed. * Assisting with the training, coaching and development of team members. * Assisting with interviewing team members. * Maintaining an up to date working knowledge of all property amenities as well as any special events. * Preparing daily reports and distributing as directed. * Understanding of all front office standards and assisting in solving deficiencies. * Supplying guests with directions and information regarding property amenities, services, and hours of operation, and local areas of interest. * Completing designated cashier and closing reports in the computer system. * Following all company policies and procedures; reporting accidents, injuries, and unsafe work conditions to manager; ensure uniform and personal appearance are clean and professional. * Maintaining confidentiality of proprietary information; protecting company assets. * Welcoming and acknowledging all guests according to company standards. * Developing and maintaining positive working relationships with others; support team to reach common goals. * Performing other reasonable job duties as requested by Supervisors. What You Bring * 2+ years front-desk supervisory or lead experience in Marriott hotels required. * Strong Lightspeed knowledge and experience. * Strong written and verbal communication skills required. * Previous customer service or guest relations experience required. * The ability to read, write, and speak English fluently is required to analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. * The ability to effectively present information and respond to questions from group of managers, clients, customers, and the general public. * The ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. * The ability to acquire a WA MAST Certification. * The ability to solve practical problems when only limited standardization exists. * The ability to interpret written and oral instructions. * Must possess basic negotiation skills and strong customer relations skills. * Strong computer skills: Full knowledge of Microsoft Office with an emphasis on Outlook, Excel and Word. Department: Nursing Overall Purpose of the Position: The Medical Office Assistant (MOA) is responsible for supporting the office by coordinating and organizing various office duties such as; appointments, referrals, preparing forms, updating patient information, completing forms and answering phones. Major Job Responsibilities: Percentage: 1. Answers all incoming phone calls and transfers the calls as needed. Takes prescription (RX) messages, identifies and verifies information needed to schedule appointment requests. Assist with follow up appointments or referrals. 40% 2. Assist in preparing patient information for the patient appointments; such as labs, hospital reports, referrals note. Assist in the maintenance of electronic medical record (EMR). Scans documents as required. Assist in the completion of all office forms and documents. 20% 3. Calls insurance companies or uses available resources to verify insurance. Informs patients of co-payments, deposits, and referrals/authorization needed at time of appointment. 20% 4. Updates physician templates to include opening, closing and rescheduling patient’s appointment. 5% 5. Works to help our patients and family members have a good experience. Takes initiative in problem solving, maintains confidentiality of patient and company information, and interacts with patients, co-workers, and management in a courteous and respectful manner. 5% 6. One year of medical, receptionist experience preferred. Demonstrated experience with basic office equipment and personal computer highly desirable. Skills/Knowledge: Must be able to manage multiple tasks at the same time; possesses strong telephone skills; maintains a positive ‘can-do’ attitude; and able to work overtime as the need arises. Desired/Preferred Qualifications: One year of experience in a medical office or healthcare administration, knowledge of medical terminology. Equipment Use: Personal computer, typewriter, multi-line telephone, fax machine, and copies. Characteristics: Willing to effectively participate as a team member with Nursing and Front Desk. Environmental Factors: Requires sitting and use of hands for key-punching (60%), walking, bending, stooping and stretching for files and supplies (30%). Requires manual dexterity sufficient to operate a keyboard and other office equipment. Vision must be correctable to 20/20 and hearing must be in the normal range for telephone use.
