We are looking for someone to learn the ins and outs of office and facilities management at our Amsterdam office. You'll work
under the guidance of our Global Facilities Manager, who will be your mentor as you build hands-on experience supporting the
day-to-day life of the office. You'll grow into the work as your understanding develops. While you'll have plenty of practical
exposure to keeping the office running smoothly, the focus is on learning the craft of facilities and office operations in an

KEY RESPONSIBILITIES & OBJECTIVES Your Key Responsibilities Workplace Experience & Office Operations * Take ownership of the daily office experience and ensure the workplace is welcoming, functional and inspiring. * Act as the main point of contact for employees regarding workplace needs and improvements. * Proactively identify issues and opportunities within the office and drive solutions. * Manage office facilities, shared spaces, furniture, meeting rooms and workplace services. * Coordinate maintenance requests and follow up with suppliers and building management. * Ensure the office environment continuously evolves with the needs of Fairphone employees. Office Projects, Renovations & Improvements * Lead and support workplace improvement projects, including renovations, office upgrades and space optimisation. * Coordinate projects such as office layout changes, furniture updates, murals, workplace installations and sustainability initiatives. * Work with internal stakeholders and external suppliers to define requirements, timelines and budgets. * Manage communication around office changes and ensure smooth implementation. * Research new solutions that improve employee experience, sustainability and efficiency. Events & Employee Engagement * Own the planning and execution of workplace events and company gatherings. * Organise quarterly Q Meeting borrels, Winter Borrel and other office celebrations. * Coordinate logistics including suppliers, catering, spaces, communication and event setup. * Support onboarding experiences through welcome breakfasts, office tours and other new joiner activities. * Prepare onboarding gifts, office access, keys and workplace essentials. * Support farewell moments and ensure employees leave with a positive final experience. Executive Assistant Support & Leadership Team Coordination * Act as a backup for the Executive Assistant during absence, holidays or busy periods. * Provide support with scheduling, meeting coordination and administrative follow-up when required. * Assist with preparation and logistics for leadership meetings, visits and company moments. * Support executive visitors and ensure a professional and welcoming experience. * Maintain confidentiality and professionalism when handling sensitive information. * Collaborate closely with the Executive Assistant to ensure smooth coverage and effective ways of working. Health, Safety & Workplace Compliance * Act as the workplace Health & Safety coordinator. * Organise annual BHV training and ensure emergency procedures are maintained. * Maintain first aid supplies and workplace safety equipment. * Keep risk assessments and workplace safety documentation up to date. * Promote a safe and healthy working environment. Supplier & Vendor Management * Manage relationships with office suppliers, maintenance partners and service providers. * Coordinate external contractors and ensure quality delivery. * Monitor supplier performance and proactively address issues. * Manage workplace-related purchases and improvements. Office Administration & Coordination * Maintain key workplace records, including access, lockers and office assets. * Manage office supplies, onboarding materials and workplace inventory. * Coordinate incoming deliveries and ensure they reach the right teams. * Maintain operational documentation and processes. * Support Finance, People and other teams with workplace-related requests.
